Concept project · Property development portal
A sales and management portal for residential developments — the Pinea estate
Pinea · homes by the forest is a Primessio concept project: a portal through which a developer runs the sale of a development — from the first enquiry to the contract. Buyers see on the estate website which homes are available and at what price, walk through the rooms in a 360° tour, estimate a mortgage payment and book a viewing themselves; the confirmation with a calendar file and the reminder arrive automatically. The sales office has one panel with buyers in a status funnel with notes, a viewing calendar, slots created in series and homes with prices and change history. Prices are transparent as Polish law requires: a prices page with price per m², a dated price history for every home and a daily report to the dane.gov.pl portal. Estate agents register buyers in a partner panel with a duplicate check and 90-day protection. After a reservation or contract, the office gives the buyer an account in the buyer portal: construction progress with photos, the payment schedule, documents and fit-out change requests in one place. The 14-home estate in Józefów near Warsaw, the company, prices and buyers are demo data; the backend, processes and tests are the same as in client projects.
Property developer software that joins the website and sales: the sales office gets one source of prices and availability, enquiries tied to a specific home and viewings booked without phone tag. Buyers get an up-to-date site plan, rooms in 360° and service in four languages. Primessio delivered the concept, content, website, sales-office panel, price transparency with the dane.gov.pl report, partner panel, buyer portal, SEO/AEO and llms.txt; the PHP 8.3 and SQLite backend runs on ordinary hosting. A Google Ads and Meta campaign template is prepared but not running.
Primessio is a software house based in Warsaw: websites and online stores, custom software and IT systems, SEO and AI SEO, social media and content, branding and project management — for clients in Poland and the DACH region. Below is one of our projects.
Product showreel
A showreel of 12 screens from the demo, watermarked: the estate website, the sales panel, the partner panel and the buyer panel. The demo site is open (the “Try the demo” button); the panels with demo accounts open after a short form. The demo sends no email — the buyer’s message appears in a preview, and visitor entries are cleared every night. · Open the showreel in a new window ↗

The panels open after one short form. Data and accounts are examples, and the demo resets every night. Each panel has a button that signs you into a sample account.
Challenge
Developers sell through their own website, property portals and the phone. The usual picture: a brochure site with a PDF price list, availability updated by hand, enquiries in an inbox, viewings in one sales agent’s calendar. Buyers can’t tell which homes are still available, and the sales office can’t see where an enquiry came from or how far along a buyer is.
On top of that, some buyers search in German, English or Ukrainian — relocation, expats, the Ukrainian community. A site and messages in Polish only lose them at the first step.
Solution
We built a portal in which the development website and the sales process share the same data. The site plan, in day and evening mode, shows each home’s live status and price, with filters: available only, garden orientation, price. Each home page has floor plans, a 360° tour of the rooms as handed over, a garden sunlight slider and a mortgage calculator. Buyers enquire about a specific home or book a viewing at the sales office or on the plot, and get a confirmation with a calendar file, a reminder 24 hours before and a cancel link.
The sales office works in a panel: buyers in a status funnel from “new” to “sold”, a buyer card with notes and history, a viewing calendar, time slots created in series, and homes with status and price — only the developer changes prices, every change is logged and shows on the site plan straight away. One source for prices and availability instead of a PDF and a spreadsheet.
Price transparency, required by the Polish developer act, runs on the same source. The “Prices and price transparency” page at a fixed address lists the price of every home and the price per m² including VAT, other payments, the developer’s details and the general part of the prospectus; each home page shows a dated price history. Once a day the portal prepares the report for dane.gov.pl: a CSV file in the Ministry of Digital Affairs template, an XML list for the portal’s harvester and an MD5 checksum. It switches to the structure of the regulation due to apply from 11 November 2026 by configuration.
Estate agents and independent sales agents work in a partner panel. Every buyer registration is checked for duplicates by phone and e-mail, and the partner gets an answer: accepted, already known, or a conflict for the developer to decide — without revealing whose buyer it is. Protection lasts 90 days and a completed viewing extends it; the developer tracks commissions in the panel from accrual to payment.
Service doesn’t stop at the contract. The office creates the buyer’s account from the buyer card — the invitation link arrives by email — and from then on the buyer checks the portal for construction progress (stages with dates, a description and photos published by the developer), the payment schedule with instalments, due dates and status, and the home’s documents as PDFs. A reminder arrives by email 7 days before each due date; the portal informs about payments but does not take them. The buyer submits a fit-out change request with a description and a file, and the office answers with a cost and a date or with the reason for declining; an accepted cost can be added to the schedule. Questions that used to come by phone and email are answered in the portal.
Scope — what we delivered
Concept and visual design
A “Morning in the pine forest” direction with an evening mode for the site plan, typography and photos used once each; interiors shown honestly — as handed over, ready for fit-out.
Live site plan
14 plots in day and evening mode, filters (available, garden orientation, price) and a “matching: X of 14” counter; status and price come from the API.
House types and home pages
Three types and 14 home pages: ground and first-floor plans, a 360° tour of five rooms, a garden sunlight slider, a mortgage calculator, favourites and comparison of up to three homes without an account.
Enquiries and viewing bookings
An enquiry form that carries the home’s context and booking of free slots at the sales office or on the plot; spam protection: rate limits, honeypot, minimum fill time, CSRF.
Messages in four languages
Viewing confirmation with an .ics file, a reminder 24 h before and one-link cancellation — in Polish, German, Ukrainian and English. In the demo, a preview instead of sending.
Sales-office panel (CRM)
Developer and sales-agent roles, buyers in a status funnel, a buyer card with notes, a viewing calendar, slots in series, homes with price history; the panel runs in Polish and English.
Price transparency and the dane.gov.pl report
A prices page in every language (price and price per m² incl. VAT, other payments, developer details, prospectus), a price history on each home page, a daily CSV file in the Ministry of Digital Affairs template, an XML list for the harvester with an MD5 checksum and a “Price report” view in the panel.
Partner panel
Invitations for agents, buyer registrations with a duplicate check, 90-day protection extended by a viewing, conflicts decided by the developer, commissions, materials (printable home cards, a CSV price list, photos) and a referral link; the panel runs in Polish and English.
Buyer portal
An account the office creates from the buyer card (invitation link and email), construction progress with dated stages and photos, a payment schedule with instalments, due dates, status and a reminder 7 days before (no online payments), PDF documents to download and fit-out change requests with the office’s reply; files checked by content, photos re-encoded without EXIF or GPS, PDFs without active content; the portal runs in Polish and English.
Content PL · DE · EN · UK
Transcreated per market, localised URLs, a six-step buying process, the neighbourhood, FAQ and the information prospectus before reservation.
SEO, AEO and AI
A keyword map from Ahrefs research mapped to pages, structured data (FAQPage, HowTo, Product, BreadcrumbList), hreflang, sitemap, llms.txt and an SEO guard in the build.
Assistant on the estate website
A rule-based assistant (no language model) in four languages on the estate website’s pages. It answers only from the site’s content and the estate data: house types, prices and price transparency, handover dates, the build standard, the escrow account, the area and viewings. When asked to “find a house” it asks about type, budget and garden orientation, then shows up to three free houses with live status from the API and buttons: house card, book a viewing, ask about this house (the house number is pre-filled in the form). It gives no advice on credit, investment, tax or contracts — it refers to an adviser and the sales office; it does not negotiate prices and asks visitors not to type personal data. It runs in the browser, does not keep the conversation, and its only request to the server is fetching the public house list. The demo can be rated in 30 seconds, with a voucher as a thank-you: €250 net towards Primessio running a Google Ads campaign, with your next project with Primessio (terms in the rating window).
Testing and launch
Backend tests including a race for the same viewing slot, tests with real clicks, a test of the release package on an Apache server before upload and a check of the live site after each deployment.

How it works — step by step
This is the portal in everyday use: first through the eyes of a buyer looking for a home, then through the eyes of the sales office taking buyers from enquiry to contract. Everything can be checked in the open demo.
The buyer
-
Finds a free home on the plan
On the site plan — by day or in the evening — they see which homes are available, reserved or sold, and filter by price and garden orientation.
-
Looks at the home up close
On the home page they study the floor plans, walk through the rooms in a 360° tour, check how the sun falls on the garden at different times and estimate a mortgage payment.
-
Compares and saves
They save homes to favourites and compare up to three side by side — no account needed.
-
Books a viewing
They pick a free slot at the sales office or on the plot. The confirmation arrives with a calendar file, the reminder 24 hours before.
-
Cancels with one link
If they can’t make it, they cancel via the link in the message; the slot goes back to the free pool.
-
Checks prices and their history
The prices page shows the price of every home and the price per m² including VAT, and each home page shows every price change with its date. The prices page address is in every ad of the campaign template.
-
Follows the build and payments after signing
In the buyer portal they see their home’s construction stages with photos, instalment due dates and status, download documents and submit a fit-out change request with a description and a file — without calling the office.
The sales office and the developer
-
Gets the enquiry with context
Enquiries and viewings land in the panel with the home number and source — nothing gets lost in an inbox.
-
Moves buyers through the funnel
The sales agent sets the status — new, scheduled, visited, reservation, contract, sold or rejected — and adds notes to the buyer card.
-
Plans viewings
The weekly calendar shows free slots and booked viewings; office and on-site slots are created in series rather than one by one.
-
Changes a home’s status and price
The developer changes the price, the agent the status. Every change is logged and shows on the site plan and home pages straight away.
-
Serves buyers from abroad
Buyer messages go out in the buyer’s language, and the panel runs in Polish and English — also for agents who don’t speak Polish.
-
Reports prices without a spreadsheet
Every price or status change goes straight into the day’s file for dane.gov.pl; the “Price report” view in the panel shows the files and their state. The developer registers the source on the portal once, at launch.
-
Works with partners
The developer invites agents, sets the commission rate, decides registration conflicts and tracks commissions: accrued, payable, paid. The registration log records the date and time of every entry.
-
Looks after the buyer after signing
The developer invites the buyer from the buyer card, publishes construction stages and photos, keeps the payment schedule (“paid”) and documents, and decides fit-out change requests in a queue: a cost and a date, or the reason for declining.
Options and extensions
The system is modular. Below are modules we can add when building it for your development — we size the scope to how you sell and the tools you already use.
Options for a client implementation — not part of the project shown.
Google Ads and Meta campaign with measurement
We launch the campaign template from Pinea — structure, keywords, ad copy, audiences and calendar — in the developer’s accounts, with a consent banner, GA4, Google Ads conversions and the Meta Pixel with Conversions API.
Business benefit: The campaign is measured to the enquiry and viewing, and once connected to the panel, to the reservation — not to the click.
Buyer notifications and export
We can add a notification about each new construction stage and an export of the payment schedule to a file.
Business benefit: Buyers hear about progress without signing in and keep the schedule on their side.
Apartments and multi-family buildings
We can extend the plan with buildings, floors and unit plans, with search by area, rooms, floor and aspect.
Business benefit: The same tool for a housing estate and an apartment scheme.
Property portal feeds
We can export available homes or units with current prices to property portals, from one source in the panel.
Business benefit: Prices and availability on portals match the website without retyping.
360° panoramas from visualisations
We can produce 360° tours from floor plans or from the developer’s visualisations — as handed over or furnished, with a note on what the standard includes.
Business benefit: Buyers see the rooms before a show home exists.
SMS viewing reminders
We can add SMS alongside email: a reminder before the viewing, rescheduling and cancellation — with a choice of channel.
Business benefit: Helps reduce missed viewings and empty hours for the sales team.
Sales reports and export
We can add reports: enquiries and viewings by source, funnel transitions, time from enquiry to reservation, plus file export.
Business benefit: Pricing and campaign budget decisions based on your own funnel data.
Assistant with a language model
We can connect the on-site conversation to a language model that answers only from the estate website’s content and the project data, keeping today’s boundaries: no credit, tax or legal advice, with a pointer to an adviser and the sales office.
Business benefit: Answers to questions phrased in the visitor’s own words.
In numbers
A concept project has no sales results — these are checkable facts from the repository and tests.
How we worked
Four stages, each with its own plan and review: the development website first, then sales and the panel, then price transparency and partners, and finally the buyer portal — each closed with tests and code review before the next began.
Concept
Visual direction, page structure, estate data: types, plots, prices, statuses and the buying process.
Development website
Astro with Preact islands: site plan, home pages, a 360° tour from panoramas rendered from the floor plans, content in four languages.
Sales and panel
PHP 8.3 and SQLite without a framework: enquiries, viewings, messages, a panel with roles and price history, tests for every rule.
Price transparency and partners
A specification from the act and the dane.gov.pl documentation, a price report with XSD validation, a partner panel with a registration log and commissions.
Buyer portal
Buyer accounts by invitation, construction progress, a payment schedule with reminders, documents, fit-out change requests and safe file handling; an API contract before the code.
SEO, AEO and AI
Keyword map from Ahrefs, structured data, hreflang, llms.txt and an SEO guard in the build.
Launch
Release package tested on an Apache server, upload over FTPS and an automatic check of pages and API on the live site.
Technology
Backend in PHP 8.3 without a framework, with an SQLite database — it runs on ordinary shared hosting, without a dedicated server. Application code and database sit out of the browser’s reach. The site is static (Astro), so it loads fast; small interactive islands fetch home status and price, and the 360° tour loads only after a click.

Frequently asked questions
Is Pinea a real estate?
No. Pinea · homes by the forest is a Primessio concept project — the estate, company, sales office, prices and buyers are fictional and not an offer. The website, forms, sales-office panel and tests are real and built the same way as in client projects.
Is the assistant on the estate website AI?
No. It is a rule-based assistant: it recognises questions by keywords in four languages and answers only from the website’s content and the estate data. It runs in the browser, does not keep the conversation, and its only request to the server is fetching the public house list to show the current status. It gives no credit, investment, tax or legal advice — it refers to an adviser and the sales office — and asks visitors not to type personal data into the chat. In a live build the same conversation can be connected to a language model.
What does a property development portal from Primessio include?
A development website with a site plan and live availability, home or unit pages with a 360° tour and a mortgage calculator, the neighbourhood, the buying process and FAQ in several languages — together with the sales side: enquiries, viewing bookings with reminders and a sales-office panel.
How does the sales-office panel work?
The sales agent moves buyers through a status funnel from “new” to “sold”, adds notes and plans viewings in a calendar. The developer can also change home prices — every change is logged and shows on the website straight away. In the demo you sign in with a developer or sales-agent demo account.
Is it a CRM for property developers?
Yes, for selling a development: a buyer card with history, a status funnel, the enquiry source, a viewing calendar and homes with prices. If the developer already uses a CRM, we can pass enquiries and viewings to it instead of the panel.
Does a price change in the panel update the website?
Yes. The site plan and home pages read status and price from the same source as the panel, so the change is visible straight away, and the history shows who made it and when. There is no separate PDF price list to replace.
Does the portal handle Polish price transparency and the dane.gov.pl report?
Yes, for houses and apartments. The prices page at a fixed address shows the price and price per m² including VAT, other payments and the developer’s details, each home page a dated price history, and once a day the portal prepares the dane.gov.pl report: a CSV file in the Ministry of Digital Affairs template, an XML list and an MD5 checksum. It switches to the regulation’s structure (from 11 November 2026) by configuration. The developer registers the source on the portal; the Pinea demo is not registered.
How does the partner programme for estate agents work?
The developer invites the agent to the partner panel. The agent registers a buyer, the system checks for duplicates by phone and e-mail and answers: accepted, already known, or a conflict for the developer to decide — without revealing whose buyer it is. The developer sets the protection period (90 by default), and a viewing extends it. The agent gets a referral link, materials with current prices and a view of commissions; the developer gets a log with the date and time of every registration.
What does the buyer see in the buyer portal after signing?
The construction progress of their home — stages with a planned or actual date, a description and photos published by the developer — the payment schedule with the amount, due date and status of each instalment, the total paid and the amount outstanding, the home’s documents as PDFs and their own fit-out change requests with the office’s reply. The office creates the account from the buyer card, and the buyer gets an invitation link by email. The portal runs in Polish and English.
Can the buyer pay an instalment in the buyer portal?
No. The payment schedule is information only: it shows instalments, due dates and statuses, and an email reminder arrives before each due date. The developer marks payments as received in the panel and can add the cost of an accepted fit-out change to the schedule as a separate item.
Was the Google Ads and Meta campaign run?
No. For Pinea we prepared a campaign template — structure, keywords, ad copy, audiences and calendar — but the campaign is not running and the site has no tracking tags. For a real development we launch the campaign in the developer’s accounts together with measurement and consent.
Does the system need its own server?
No. The backend runs on PHP 8.3 with SQLite on ordinary shared hosting, and code and database are blocked from the browser. Buyer messages go out from a queue; reminders before viewings are handled by a cron job in the hosting panel.
How much does a property development sales portal cost?
It depends on scope: the number of homes or units, languages, 360° tours, panel modules and the campaign. We quote after a conversation, once we know the development and the materials — the open demo helps settle what the sales office really needs.
What materials does the developer need to provide?
Floor plans, visualisations or photos, the specification, price list, schedule, sales-office details and the prospectus content needed for the site. We can produce 360° panoramas from floor plans or from the developer’s visualisations.
Is the demo publicly available?
Yes. The estate website and the prices page are open; the sales-office panel, the partner panel and the buyer portal open after a short form (company details and consents). No email is sent in the demo — the message the buyer would receive appears in a preview — and visitor entries are cleared every night. The demo can be rated in 30 seconds, with a voucher as a thank-you: €250 net towards Primessio running a Google Ads campaign, valid for your next project with Primessio (terms in the rating window).
